Welcome to the Connections Team FAQ Resource. We hope that this helps set you up for success as a member on our team! If there is a question that you are still unsure of, reach out to your Team Leader first. You can reach out to them on Microsoft Teams or tag them on a prayer request directly.


THE BASICS

What if I am unable to serve on my assigned day?

If you cannot serve on your assigned day be sure to let your Connections Team Leader know. (You can feel free to jump in and serve on a different day that week!)

How many requests am I expected to respond to?

We ask that each team member respond to at least 5 requests a week whenever possible. This is ideally in your assigned day, but can be done throughout the week, and you don’t have a set time of day.

How long should I take to write each response?

This can vary for each volunteer, and for each request. An average is about 10-15 minutes per response, but that is an average and not a standard. Some will take less time, some more. Let the Holy Spirit lead you to respond appropriately.

Why is it important to 'send and archive' my responses? 

Once you respond to a prayer click 'send and archive' (not just send). If you don’t, it will sit in your inbox. Our team monitors that and if several are in your inbox we think they are unanswered. Please ensure your inbox is emptied.

How can I tell the difference between the comment section and the reply section? 

The reply section is the actual body of text that is in the email. The comment section is at the bottom, this is used to tag your team leader with any questions or concerns.

Do you assign me requests, or can I choose my own? 

Occasionally you may be assigned a specific request, but in general, you can choose your own requests. Remember that we want to offer prompt responses, so take the older requests first whenever possible. This can be done in 2 simple steps. First click sort by… then select oldest. It will then sort the Prayer Request inbox from oldest to newest.

If someone replies to my response, how will I get it?

Replies to your emails will go straight to your inbox in your Front profile.

What is the difference between “Unassigned” and when it says “_____ draft created“? Which can I take?

Always make sure the inbox is sorted by “oldest” first. You would then select a prayer and assign it to yourself. If you see that someone else has started working on it without assigning it to themself, let them finish it. 

What happens if I assign an email to myself that I am unable to respond to? 

We want to ensure that ALL prayer requests are answered as promptly as possible. If you are no longer able to respond to a request you assigned to yourself, simply click your name and select "Unassigned" on the dropdown list for it to go back in to the inbox.

What to do if I started a draft and did not finish it?

Go back and assign it to yourself if you intend to finish it. If not, delete your draft. 

What happens if your message is undeliverable?

Look for obvious errors in the email address (for example if gmail is misspelled). Sometimes an incorrect email can be sent back as an undelivered email. Some other reasons are that the receiving email server is temporarily unavailable, was overloaded, or couldn’t be found. If this is the case, unfortunately there is not much we can do, since it is an internal technical issue.

Are there any requests I shouldn’t take?

If there is a prayer request regarding controversial topics, please refrain from responding in email format. Instead, use the tag PASTOR so that our staff can arrange to talk to the person over a video/phone call.

There are often times that a prayer request is best handled by someone of the same gender. If you come across one of those, you can tag - Male Prayer Request or Female Prayer Request. If the request references current and/or ongoing abuse, especially in the case of a minor, please also use the tag PASTOR, as well as the tag URGENT.

What are “message templates”, where are they, and how can I use them?

Message templates are outlined responses to help you respond to requests on different topics and situations. These are found when you click the lightning bolt. Ensure that you edit the template to fill in appropriate information. For example, include their name, update the pronouns (he/she/they), and include the current message series.

You would click “reply”, then click the two arrows to expand the reply section. This will show you the message template icon with the lighting bolt and 4 lines.

If I’m not sure of the person’s gender, how do I word my response?

Sometimes you can’t tell the name of the requestor or the nature of the request. You could let them know that you aren’t sure of their gender, and when you pray for them, use the non-specific pronouns like they instead of him or her.

How can I search for prayer requests I’ve responded to in the past?

This can be done on the standard browser, and on the Front mobile app. In the main control panel you will click ‘Sent’ and then enter your keyword in the search bar.

How do I transfer a request to another member of the Connections Team?

Step 1: Select the prayer 

Step 2: Click the ‘Assign’ button and search for the person you are wanting to assign to the prayer request. 

Step 3: Select their name, it will automatically assign that prayer to the person.

How should I address the person the name in the email doesn’t match the name in the description?

It’s best to use the name that is given, even if it doesn’t match the email address. It may be what they prefer to be called.

How do we verify whether a resource we found is appropriate to share?

If it’s not already among the listed resources in the message templates, and it’s not a Life.Church resource, contact your staff team leader to ask whether it is acceptable to share.

How can I suggest a resource or topic for a Message Template?

Contact your staff team leader with your suggestions. If you’d like to write one, speak up! We’d love to have help creating these useful tools.

How do I save a prayer response while searching for resources?

If you need to step away from the request to do some research, that’s fine. Make sure you have assigned the prayer request to yourself before you log out of Front to look up resources. That way you can find it in your “Inbox” folder if you have not started responding, or your “Draft” folder if you have already started a response.

CHALLENGES

What if the request is in a language I don’t speak?

- Go to Google Translate
- Copy the text of the prayer request into the window on the left. If you’re not sure what the language is, be sure “Detect Language” is selected on the left side, and select your language on the right side, then click Translate.
- In the Prayer Request reply window, type your response in your language. Mention that you are using Google Translate to communicate, so you apologize for any errors.
- Refresh the Google Translate window and copy your response into the window on the left. Select their language on the right window, and click the arrows between the windows to switch the translation feature.
- Copy the translation of your response and include it in your Prayer Request reply window, along with the one in your language.
- If you want to include a Bible plan in their language, go to https://www.bible.com/
- At the bottom right, click on your current language preference and then switch to their language.
- At the top right, click on the checkmark (tick mark)
- Then copy the URL (web address) and paste that into your email. (e.g. Afrikaans Reading Plans)
- Click Update, Send and Resolve, and you’re finished!

When I cannot answer their question, what should I do?

First, feel free to reach out to your team leader if you need any guidance. We’re not expected to be able to answer every question presented to us. A great source for good answers to a variety of questions is http://gotquestions.org. If you use this site, let the person know you used it, and include a link to the specific page(s) you used.


How should I handle requests that become ongoing conversations that aren’t about the actual prayer request any more?

Sometimes, the conversation drifts and it isn’t actually a prayer request anymore. If it becomes an ongoing conversation that doesn’t have momentum, point them to places like:

- Our Facebook Group
- Life.Church blog 
- Finding community with LifeGroups

Let them know that if they have another prayer request or an update related to the original request, you’d be glad to hear from them.
